The tone used is a fundamental part of our school brand identity. The need to strike the right tone consistently and responsibly has never been more crucial with the increasing use of artificial intelligence (AI) in communication tools.
As technology continues to reshape education, school communications are evolving rapidly. What once relied on paper newsletters and in-person meetings is now supported by emails, apps and increasingly, artificial intelligence. While these tools offer speed and convenience, they also raise a critical question: how do we maintain the right tone in an era of automated messaging?
The Power of Tone
The tone of voice is more than just sounding friendly or formal. It’s the subtle combination of language, emotion and intention that builds trust and conveys values. A school’s ethos, whether it’s nurturing, academic, forward-thinking or community-driven, should be reflected in every message from a policy update to a Facebook post. Tone is central to effective communications, especially for our schools. Messages sent to parents, students and staff must convey empathy, clarity and trust. We know trust is a central pillar to building long-term relationships with key stakeholders.
Whether sharing praise, policy changes, or difficult news, the tone sets the emotional context. Missteps, even unintentional ones, can erode relationships and spark confusion or concern, potentially damaging a reputation that’s taken a lot of time to build.
A consistent tone helps schools cut through noise and create an identity that parents and stakeholders instantly recognise. However, maintaining consistency can be challenging, especially when multiple people contribute to school communications or when time is tight.
Where AI Comes In
AI tools like chatbots, email assistants and content generators offer schools the potential to streamline communications. They can draft routine messages, summarise reports, or personalise outreach based on audience data, saving time and supporting capacity.
However, AI doesn’t instinctively understand your school’s values, culture or unique ‘voice’. Without careful input and oversight, it risks generating generic, overly polished, or worse, inappropriate content. Most AI systems, readily available to users, aren’t designed to sense context or emotion the way humans can and that’s where the potential for miscommunication arises.
However, while AI can efficiently draft updates or reminders, it may lack the emotional intelligence needed for more nuanced interactions. The pace of change is significant of course and sooner rather than later AI messaging will adopt these human tones, but for now human oversight remains essential. AI should assist, not replace, the human voice in school communications. It may be ideal for some routine notifications or initial drafts, but final messages, especially those dealing with sensitive issues, should be reviewed and refined by staff who understand the school community’s values and context.
The Human Touch
Schools can also take steps to ensure AI-generated content reflects their ethos. Personalisation features, inclusive language guidelines and tone settings can help align AI tools with a school’s communication style. Still, these tools are only as good as the humans guiding them!
To navigate this new era, schools will need clear policies around the use of AI in communications. I’ve often talked about the 3 P’s – People, Policy, Platforms. Schools, quite naturally, give thought to the technology they use, the social media platform or comms software. But care must be taken to ensure our people are given the time, space and skills to manage this critical school function. Equally, policies need to exist to provide guidance and frameworks for all users to operate within.
Staff training on crafting empathetic, inclusive messages, regardless of the tool used, is more important than ever. Building a culture of thoughtful communication ensures that families feel informed, supported, and respected. Looking ahead, the future of school communication is likely to be hybrid: blending the efficiency of automation with the warmth and understanding only humans can provide. In the age of AI, tone isn’t just a detail – it’s the bridge that keeps our school communities connected.
