What is the ABC Method?
The ABC method is a simple technique for sorting your workload based on importance and urgency. It’s especially effective when you have numerous tasks with varying levels of priority – a common scenario for SBLs managing everything from budgets to staff issues and events.
Developed as part of classic time management strategies, the ABC method requires you to group your tasks into three distinct categories. To get started, follow these steps:
Create Your Task List
Begin by writing down everything you need to accomplish. For school business leaders, this often includes financial management, HR responsibilities and operational duties — so expect your list to be long! You may even find you need multiple lists for different parts of the school.
Assign Priorities Using the ABC System
Go through your list and assign each task a category:
A: These are your top-priority tasks that require immediate attention. They’re both urgent and important, such as payroll deadlines, safeguarding issues, or dealing with a building maintenance emergency.
B: These are important tasks that don’t have immediate deadlines but still require attention. Examples include planning future budgets, preparing for audits, or strategic development.
C: These tasks are low-priority and may not require your immediate involvement. They might include routine admin, reading non-urgent emails, or attending optional meetings.
Identify What Needs Your Attention
Once your tasks are categorised, ask yourself:
Which tasks must be completed by you personally?
Which tasks can you delegate to your team?
Which tasks can be handled collectively as part of a group effort?
Dividing your tasks in this way helps you manage your workload efficiently while empowering your team to take ownership of appropriate tasks.
School business leaders often face constant demands, with urgent requests frequently disrupting planned work. The ABC method helps you regain control by ensuring your most pressing and impactful tasks receive the attention they deserve.
By giving clear priority to urgent and important tasks (Category A), you reduce the risk of last-minute panic and forgotten deadlines. Meanwhile, recognising your Category B tasks allows you to plan for essential but less time-sensitive activities. Lastly, identifying Category C tasks ensures that less critical work doesn’t take priority over what really matters.
